Condominium security work can involve residents’ contact information, vehicle and parking records, visitor activity, amenity reservations and bookings, keys and access permissions, daily logs, occurrence and incident reports, photographs, condominium corporation information and confidential instructions from management. Taken together, those records can reveal personal circumstances, property vulnerabilities and patterns of activity.

PSG treats the handling of this information as part of its security responsibility. A convenient reporting tool is only one consideration. Who operates it, who can access the records and who answers to the client matter too.

Privacy and condominium governance

Canada’s federal private-sector privacy framework, including the principles set out in the Personal Information Protection and Electronic Documents Act (PIPEDA), addresses accountability, identifying purposes, limiting collection, limiting use and disclosure, retention, safeguards, openness and individual access. These principles inform the questions that should be asked whenever personal information is collected through a condominium security operation.

Ontario’s Condominium Act, 1998 separately governs condominium corporations and their records, including requirements concerning the keeping and examination of records. It is not a complete privacy code. Together with the condominium’s governing documents, contracts, post orders, client direction and other applicable law, it makes careful control of security-related records an important operational responsibility.

For each property, the purpose of collection, access permissions, retention, disclosure and record handover should be established according to the client’s requirements and applicable law. PSG’s in-house portal supports that controlled, site-specific approach; it is not a substitute for the condominium corporation’s own legal advice or statutory obligations.

Privacy requires more than software ownership

A practical advantage, with clear boundaries.

Our advantage is direct operational control and reduced reliance on a separate reporting platform. Ownership alone does not guarantee confidentiality, and using a third-party platform does not by itself mean another provider mishandles information.

Virtual private servers still rely on hosting infrastructure. Authorized technical support, client representatives and necessary service providers may be involved, and information may need to be disclosed for safety, investigations or legal requirements. “In-house portal” does not mean that no outside party can ever have authorized access.

Permissions, staff conduct, retention and appropriate safeguards remain important. Property-specific access, reporting and information-handling requirements should be addressed when the service is arranged. Our privacy policy explains the purposes for which PSG handles information and the circumstances in which it may be disclosed.
